Privacy notice

How we handle the information you give us. Last updated 1 September 2026.
The short version. If you fill in a form or ring us, we use your details to answer you and to do the work. Form submissions travel through a company called Web3Forms, which passes them to our inbox. We do not sell your data and we do not send marketing unless you ask for it. You can ask us what we hold, ask us to correct it, or ask us to delete it, and we have to respond.

Who we are

ASAP Boiler Repair is the data controller for the information described here. That means we decide why it is collected and what happens to it. You can reach us by phone on 0203 868 6134 or by email at info@asapboilerrepair.co.uk. If you want to raise something about your data specifically, use the email and say so in the subject line. If you write to us about your data, put "data request" in the subject line so it reaches the right person rather than sitting in the enquiries inbox.

What we collect

Only what we need to answer you and turn up at the right address.
When you use a form on this site, we ask for your name, phone number, email address, postcode, and what has gone wrong. Some forms also let you tell us when suits you and add notes about the make, the model or how to get in. Those notes are free text, so please do not put anything in them you would not want in an email. The form also records which page you sent it from, so we know what you were reading. There is a hidden field designed to catch automated spam. It collects nothing about you. When you ring us, we take the same details verbally, plus whatever you tell us about the fault and the property. When you visit the site, our analytics records pages viewed, roughly where in the country you are, and what device and browser you used. It also records when someone taps the phone number or sends a form. This is counted, not tied to your name. We do not ask for payment details through this website.

Who else handles it

Two companies, and it is worth being specific about what each one does.
Web3Forms, for the forms. Every form on this site posts to a service called Web3Forms, run by Web3Creative. They receive what you typed, forward it to our inbox as an email, and that is their entire role. They act as our processor, which means they may only handle your data on our instructions. Their infrastructure runs on Amazon Web Services, Cloudflare and Hetzner. Google, for analytics. We use Google Analytics to count visits and see which pages lead to calls. Google acts as our processor for that. If Google reviews appear on a page, those come from Google as well. Nobody else, unless we have to. We do not sell your details, and we do not pass them to other trades for marketing. We may share information with our accountant, our insurer, or a professional adviser where there is a genuine need, and with anybody the law requires us to. The software we run on. Your details also sit in our email, and in the systems we use to schedule work, raise invoices and keep accounts. Those suppliers hold the data on our behalf and may only use it to provide their service to us. They do not get to use it for anything of their own.

Where your data goes

Some of it leaves the UK, and you are entitled to know that.
Web3Forms processes submissions on servers in the United States, and Web3Creative is a business registered in India. So when you send a form, your details travel outside the UK before they reach us. Google Analytics also processes data outside the UK. Transfers like these are allowed under UK data protection law where there are proper safeguards in place, such as an approved contract between us and the supplier. Web3Forms publishes a data processing agreement covering this. India is not covered by a UK adequacy decision, so that transfer relies on the contract rather than on the country. We rely on the data processing agreement Web3Forms publishes, which sets out the protections that apply, and on Google's own terms for analytics.
If you would rather nothing left the UK, ring us on 0203 868 6134 instead of using a form. A phone call goes nowhere near any of this.

How long we keep it

Not forever, and not longer than there is a reason to.

Where a period is not fixed by law, we keep things for as long as there is a reason and then delete them.
If you want yours gone sooner, ask us. Unless a record is one the law requires us to keep, such as a gas safety certificate, we will delete it.

Cookies

Cookies are small files a website stores on your device. Ours are used to keep the site working and to count visits through Google Analytics. We do not use cookies to build an advertising profile of you. You can block or delete cookies in your browser settings. Blocking them will not stop you using the site. If a cookie choice is offered to you when you arrive, it is remembered so you are not asked again on every page. You can change it by clearing cookies for this site in your browser and reloading the page.

Your rights

You have these whether or not you have ever been a customer.
  • See what we hold. Ask and we will send you a copy.
  • Correct it. If something is wrong, tell us and we will fix it.
  • Have it deleted. We will, unless we are legally required to keep it, in which case we will tell you which part and why.
  • Object, or ask us to pause. Particularly where we are relying on our own legitimate interests.
  • Take it elsewhere. Ask for it in a portable format.
  • Withdraw consent. Where you gave it, you can take it back at any time.
Email info@asapboilerrepair.co.uk and we will respond within a month. It is free. We may ask you to confirm who you are first, so we do not hand your details to somebody else.

If you are not happy

Tell us first and we will try to put it right. If you are still not satisfied you can complain to the Information Commissioner's Office, which regulates data protection in the UK. You can reach them on 0303 123 1113 or through their website. Complaining to them does not cost anything and does not affect any other rights you have.

Changes to this notice

If we change how we handle your information we will update this page and change the date at the top. If the change is significant we will say so plainly rather than hoping you do not notice.
